Time Zone Meeting Agenda Template
A global agenda should show the meeting goal, attendee cities, confirmed local times, and any daylight saving risk before the call begins.
Start the agenda with city-based times
The first section of a remote agenda should answer where and when. Add each attendee city to the world clock online, then write the meeting time in local city terms instead of ambiguous abbreviations.
City labels are easier to verify than PT, ET, IST, or CST. They also make it obvious when a teammate is joining from a different local date.
Copy-ready agenda header
Meeting: Customer launch review
Goal: Confirm launch blockers and owner follow-ups
Local times: 8:00 AM San Francisco / 11:00 AM New York / 4:00 PM London / 5:00 PM Berlin / 11:00 PM Singapore
Time-zone note: Recheck this slot before the next daylight saving change.
Confirm the agenda date, not just the hour
Before the agenda is shared, open the meeting planner and compare the exact calendar date. A slot that works today may move after a daylight saving transition or land on the next day for Asia-Pacific teammates.
If the meeting is recurring, test the same agenda time on a future date after the next clock-change week. The weekly standup time zone planner is useful for recurring team rituals.
Add an overlap and fairness section
A good agenda separates the working session from the scheduling decision. If one region is attending early or late, say whether the slot will rotate next time.
Use the timezone overlap calendar or working hours time zone converter to decide whether the selected hour is inside shared working time.
Verify the final invite before sending
After the agenda has a proposed slot, check it once with the time zone converter. This prevents copied-time mistakes when the agenda moves from a doc into a calendar invite.
For the final calendar wording, pair this agenda with the global meeting invite time zone format and the remote meeting time zone template.

Build the agenda from real local times
Compare attendee cities, choose a fair overlap window, and confirm the final local times before sharing the agenda.
