Global Training Time Zone Planner

Global training works best when the live session, office hours, replay, and follow-up messages are planned around real attendee cities. Use this workflow to publish training times that are clear before people add them to their calendars.

Start with the training audience cities

Open the world clock online and add the cities for learners, trainers, facilitators, and support owners. City-based planning is safer than timezone abbreviations because daylight saving changes can move offsets on the exact week of training.

If the class spans customers, partners, or multiple internal regions, split the list into live-priority cities and replay-priority cities. That makes the scheduling tradeoff explicit before the announcement goes out.

Find a realistic live training window

Use the meeting planner time zones tool for the exact training date. Compare the live-priority cities first, then add optional regions to see whether a single session is fair or whether two regional sessions would be clearer.

For onboarding or enablement programs, avoid choosing a time that only works for headquarters. A training slot that lands inside normal work hours for the largest learner group usually performs better than a technically global time that is awkward for everyone.

Training time zone checklist

1. Add learner cities: Include priority regions, trainers, moderators, and support contacts.

2. Compare the real date: Check the training day, not a remembered UTC offset.

3. Publish local examples: Show the session time in the most important cities.

4. Schedule replay delivery: Send recordings and exercises during each region's workday.

Convert the final session time for every announcement

Once the live window is chosen, use the time zone converter to write the training time in local examples for the landing page, calendar invite, reminder email, Slack post, and replay message.

Product training: Wednesday, October 21 at 8:00 AM San Francisco / 11:00 AM New York / 4:00 PM London / 11:00 PM Singapore. APAC replay and Q&A thread will be posted Thursday morning Singapore time.

Plan trainer prep and regional office hours

The live class is only one scheduling item. Trainers may need prep calls, dry runs, office hours, grading windows, and follow-up sessions. Convert each milestone before the program launches so the team can staff the training without late surprises.

For customer-facing programs, pair this guide with the webinar time zone planner and the client meeting time zone planner so live sessions and follow-up demos use consistent local-time wording.

Use replay timing as part of the schedule

A replay is a training asset, not an afterthought. Convert replay email times for each region and avoid sending every follow-up from the organizer's local morning if another region is already offline.

For recurring enablement programs, the remote team recurring meetings across time zones workflow helps you recheck DST changes before the next cohort starts.
